Internal Staff Terms

These terms govern access to MoveIt Delivery's internal and administrative systems, including the dispatch dashboard, admin console, pricing configuration, and customer/driver/affiliate records. By using any internal system you agree to these terms and our Privacy Policy.

1. Acceptance and scope

These terms apply to all MoveIt Delivery staff, dispatchers, and administrators ("Internal Staff") granted access to internal systems. Access is granted by an authorized administrator and may be revoked at any time. By logging in to any internal system you confirm that you have read, understood, and agree to these terms. If you do not agree, you must not access the systems and must notify your administrator.

2. Authorized access

• You may access only the systems, records, and functions necessary for your assigned duties, and only for legitimate business purposes.
• You must keep your login credentials secure and unique. You may not share credentials, use another person's account, or allow anyone to use yours.
• You must lock your session when stepping away and never leave an authenticated internal session unattended on a shared or untrusted device.
• Access is logged. Administrative actions (creating or modifying users, changing pricing, approving drivers, processing payouts) are recorded for audit purposes.

3. Confidentiality

All information you access through internal systems is confidential, including customer, driver, carrier, and affiliate personal and business information; pricing and commission data; financial and payout records; and business strategy, partner relationships, and system configuration. You must not disclose, copy, transmit, or use any confidential information except as required to perform your duties. This obligation survives the end of your access or engagement.

4. Personal information and PIPEDA

MoveIt Delivery collects and handles personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. As Internal Staff you handle personal information on MoveIt Delivery's behalf and must:

• Collect, use, and disclose personal information only for legitimate MoveIt Delivery business purposes and the purposes disclosed in our Privacy Policy.
• Limit access to the minimum personal information needed for a given task.
• Not export, screenshot, email to personal accounts, or otherwise remove personal information from MoveIt Delivery systems.
• Report any actual or suspected privacy breach, unauthorized access, or lost device immediately to the Privacy Officer at privacy@moveit.delivery, in line with our breach-notification process.

5. Acceptable use

• Use internal systems only for MoveIt Delivery's authorized business. Personal use must be incidental and must not interfere with your duties or consume significant resources.
• Do not attempt to circumvent security, access controls, audit logs, or rate limits; do not probe, scan, or test for vulnerabilities without explicit written authorization.
• Do not introduce unapproved software, scripts, or integrations into internal systems, or modify pricing, commission, or payout configuration outside your authorized scope.
• Do not use internal access to benefit yourself or anyone you know personally — for example, by manipulating job assignments, commissions, payouts, credits, or approvals for personal gain.

6. Financial and payout integrity

Where your role involves pricing, commissions, credits, or payouts, you must apply the published rates and rules accurately and document any manual adjustment. Payouts and commissions are platform-side ledger entries; you must not record, alter, or release them except through approved system functions and with any required authorization. Any discrepancy, error, or suspected fraud must be reported immediately.

7. Audit and monitoring

MoveIt Delivery may monitor, log, and review your use of internal systems, including administrative actions and access to personal information, for security, compliance, and quality purposes. You should have no expectation of privacy in your use of internal systems. Audit records may be retained and used in investigations, disciplinary action, or legal proceedings.

8. Consequences of misuse

Misuse of internal systems — including unauthorized access, disclosure of confidential or personal information, tampering with financial records, or any breach of these terms — may result in immediate suspension or revocation of access, disciplinary action up to termination of engagement or employment, and referral to law enforcement or regulators where applicable. You may be held personally liable for damages caused by your misuse.

9. Return of information

Upon the end of your access or engagement, or on request, you must return or permanently delete all confidential information and personal information in your possession and confirm in writing that you have done so. You must not retain any copies.

10. Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.

11. Dispute resolution

Disputes relating to these terms or your access to internal systems will be addressed through MoveIt Delivery's internal procedures. Any remaining dispute will be resolved in the courts of Ontario.

12. Changes and termination of access

We may update these terms from time to time. The effective date above reflects the current version. Your continued use of internal systems after changes are posted or communicated automatically constitutes your agreement to the updated terms. You may request that your access be terminated at any time by contacting your administrator or privacy@moveit.delivery. MoveIt Delivery may revoke access at any time as described in Section 8. Termination of access does not relieve you of the confidentiality and other obligations that survive under these terms.
