MoveIt Delivery respects your privacy. This policy explains what personal information we collect when you use our website, request quotes, book deliveries, create an account, or contact us. It also describes how we use, share, and safeguard that information under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy laws.

2. Information we collect

• Contact information: name, email address, phone number, company name.
• Delivery details: pickup and delivery addresses, postal codes, dates, times, pallet counts, weights, dimensions, and special instructions.
• Account information: login credentials and saved locations.
• Payment information: payment method, billing details, and transaction records. Credit card details are handled directly by Stripe; we do not store full card numbers on our servers.
• Driver/carrier information: license, insurance, registration, safety certificates, CVOR numbers, vehicle details, availability, and payout email. Documents you upload (license, insurance certificate, registration, safety certificate) are stored to verify eligibility and may be reviewed by authorized MoveIt Delivery staff only.
• Affiliate/referral information: your affiliate type, payout email, referral code, the customers and drivers you refer, and commission and credit balances ledgers.
• Proof-of-delivery records: geo-tagged before-and-after cargo photographs and on-site recipient signoffs captured by drivers, retained as delivery evidence and shared with the relevant customer.
• Website usage: IP address, browser type, pages visited, and referring URL, collected via server logs or optional analytics cookies.

3. How we use your information

• Provide quotes, book deliveries, dispatch drivers, and communicate delivery status.
• Process payments and driver/carrier payouts.
• Maintain safety, insurance, and regulatory records.
• Send transactional emails and, only with your express consent, marketing communications.
• Improve our website and services.

4. Consent

By requesting a quote, creating an account, or booking a delivery, you consent to our collection and use of your personal information for the purposes described above. We will ask for separate express consent before sending you marketing emails. You may withdraw consent or unsubscribe at any time by contacting us or using the unsubscribe link in any marketing message.

5. Sharing and disclosure

We do not sell your personal information. We share personal information only when necessary:

• With approved drivers or carriers assigned to your delivery, limited to the information needed to complete the job.
• With payment processors (Stripe) to process card payments.
• With email service providers to send confirmations and updates.
• When required by law, court order, or to protect our legal rights.

6. Cross-border data transfers

Some service providers, such as Stripe and email hosts, may process data in the United States or other countries. When we use these providers, we rely on contractual safeguards and their commitments to protect your information in accordance with PIPEDA principles.

7. Data retention

We keep personal information only as long as necessary for the purposes described in this policy and to meet business, legal, insurance, and regulatory obligations. Approximate retention periods by category:

• Account and contact information: kept for as long as your account is active; deleted or de-identified within a reasonable period after account closure, subject to legal holds.
• Delivery records and proof of delivery: at least two years after delivery (longer where required for claims, insurance, or regulatory purposes).
• Payment and payout records: seven years for accounting and tax compliance.
• Driver/carrier documents (license, insurance, CVOR, registration): kept current while the driver is active and retained for the duration of any regulatory or insurance requirement after deactivation.
• Affiliate commission and credit ledgers: seven years for accounting and tax compliance.
• Server logs and analytics: up to 12 months.

You may request deletion of your account data by contacting our Privacy Officer, subject to legal or contractual retention obligations.

8. Safeguards

We use industry-standard security measures including encryption in transit (HTTPS), password hashing, role-based access controls, and regular backups. Internal staff access to personal information is limited to what each role needs and is logged for audit. Documents uploaded by drivers are stored securely and served only to authorized users.

9. Your rights

You have the right to access, correct, or challenge the accuracy of your personal information, and to withdraw consent for marketing communications at any time. To make a request, contact our Privacy Officer at privacy@moveit.delivery. We will respond within 30 days.

11. Breach notification

If we become aware of a breach of security safeguards involving personal information that creates a real risk of significant harm, we will take reasonable steps to contain the breach, investigate, and notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA, as soon as feasible and in accordance with applicable law.

12. Children's privacy

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 16, and no one under 16 may register an account, book a delivery, or apply to drive. If you believe we have collected information from a minor in error, please contact our Privacy Officer so we can delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will reflect the most recent revision.
