1. Introduction

MoveIt Delivery respects your privacy. This policy explains what personal information we collect when you use our website, request quotes, book deliveries, create an account, or contact us. It also describes how we use, share, and safeguard that information under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy laws.

2. Information we collect

  • Contact information: name, email address, phone number, company name.
  • Delivery details: pickup and delivery addresses, postal codes, dates, times, pallet counts, weights, dimensions, and special instructions.
  • Account information: login credentials and saved locations.
  • Payment information: payment method, billing details, and transaction records. Credit card details are handled directly by Stripe, Inc.; we do not store full card numbers on our servers.
  • Driver/carrier information: license, insurance, registration, safety certificates, CVOR numbers, vehicle details, availability, and payout email. Documents you upload (license, insurance certificate, registration, safety certificate) are stored to verify eligibility and may be reviewed by authorized MoveIt Delivery staff only.
  • Affiliate/referral information: your affiliate type, payout email, referral code, the customers and drivers you refer, and commission and credit balances ledgers.
  • Proof-of-delivery records: geo-tagged before-and-after cargo photographs and on-site recipient signoffs captured by drivers, retained as delivery evidence and shared with the relevant customer.
  • Website usage: IP address, browser type, operating system, pages visited, time on page, scroll/click patterns, referring URL, and approximate location, collected via server logs and analytics/advertising cookies and pixels.

3. How we use your information

  • Provide quotes, book deliveries, dispatch drivers, and communicate delivery status.
  • Process payments and driver/carrier payouts.
  • Maintain safety, insurance, and regulatory records.
  • Send transactional emails and, only with your express consent, marketing communications.
  • Measure and improve website performance, advertising effectiveness, and user experience using analytics and advertising partners.

4. Consent

By requesting a quote, creating an account, booking a delivery, or applying to drive, you consent to our collection and use of your personal information for the purposes described above. We ask for separate express consent before sending you marketing emails and before loading non-essential analytics/advertising cookies. You may withdraw consent or unsubscribe at any time by contacting us, using the unsubscribe link in any marketing message, or reopening the cookie banner on the Cookie Policy page.

5. Sharing and disclosure

We do not sell your personal information. We share personal information only when necessary:

  • With approved drivers or carriers assigned to your delivery, limited to the information needed to complete the job.
  • With payment processors (Stripe, Inc.) to process card payments, payouts, and related transactions.
  • With email and communication service providers to send confirmations and updates.
  • With analytics and advertising partners as described in Section 6 — Advertising and analytics partners.
  • When required by law, court order, or to protect our legal rights.

6. Advertising and analytics partners

We use the following third-party platforms for analytics, advertising measurement, and marketing. These partners may collect personal information directly through cookies, pixels, and SDKs when you visit or interact with our site. Some partners use information for their own business purposes (for example, to improve their advertising systems), not solely on our behalf. We rely on Consent Mode / cookie-banner consent before loading non-essential tags.

  • Google LLC (Google Analytics 4, Google Ads, Google Tag Manager): Google receives information such as IP address, device/browser characteristics, pages visited, time on page, referring URL, conversion events, transaction value, and approximate location. We use this for website analytics, conversion tracking, ad attribution, and remarketing/interest-based advertising. Google's use of this information is governed by its own Privacy Policy and Ads Processor Terms. You can manage Google's ad settings at adssettings.google.com.
  • Meta Platforms, Inc. (Facebook / Instagram Pixel and Ads): Meta receives information such as IP address, browser/device characteristics, pages visited, and conversion events (for example, completed registration or purchase). We use this to measure ad performance, build audiences, and deliver relevant ads on Meta's platforms. Meta may also use hashed contact information (for example, email) that you provide for offline-conversion measurement and custom/lookalike audiences, only where permitted by law and with your consent where required. Meta's use of this information is governed by its Privacy Policy. You can manage Meta ad preferences at facebook.com/ads/preferences.
  • Stripe, Inc.: Stripe processes payment method details, billing information, and transaction records on our behalf. Stripe's use of this information is governed by its Privacy Policy and applicable data-processing terms.

7. Cross-border data transfers

Some service providers and advertising/analytics partners, including Stripe, Google, and Meta, may process data in the United States or other countries. When we use these providers, we rely on contractual safeguards and their commitments to protect your information in accordance with PIPEDA principles. By using our platform, you acknowledge that your information may be transferred to, stored, and processed in countries outside Canada, including the United States, where laws may differ.

8. Data retention

We keep personal information only as long as necessary for the purposes described in this policy and to meet business, legal, insurance, and regulatory obligations. Approximate retention periods by category:

  • Account and contact information: kept for as long as your account is active; deleted or de-identified within a reasonable period after account closure, subject to legal holds.
  • Delivery records and proof of delivery: at least two years after delivery (longer where required for claims, insurance, or regulatory purposes).
  • Payment and payout records: seven years for accounting and tax compliance.
  • Driver/carrier documents (license, insurance, CVOR, registration): kept current while the driver is active and retained for the duration of any regulatory or insurance requirement after deactivation.
  • Affiliate commission and credit ledgers: seven years for accounting and tax compliance.
  • Server logs and analytics: up to 12 months in our systems; partner platforms may retain data according to their own policies.

You may request deletion of your account data by contacting our Privacy Officer, subject to legal or contractual retention obligations.

9. Safeguards

We use industry-standard security measures including encryption in transit (HTTPS), password hashing, role-based access controls, and regular backups. Internal staff access to personal information is limited to what each role needs and is logged for audit. Documents uploaded by drivers are stored securely and served only to authorized users.

10. Your rights

You have the right to access, correct, or challenge the accuracy of your personal information, and to withdraw consent for marketing communications and non-essential cookies at any time. To make a request, contact our Privacy Officer at privacy@moveit.delivery. We will respond within 30 days.

11. Cookies and analytics

Our site uses essential cookies for security and session management. We also use analytics and advertising cookies/pixels when you consent. These help us measure site performance and ad effectiveness and may be used by Google and Meta to show you relevant ads. You can manage non-essential cookies through the cookie banner or your browser settings. See our Cookie Policy for details.

12. Breach notification

If we become aware of a breach of security safeguards involving personal information that creates a real risk of significant harm, we will take reasonable steps to contain the breach, investigate, and notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA, as soon as feasible and in accordance with applicable law.

13. Children's privacy

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 16, and no one under 16 may register an account, book a delivery, or apply to drive. If you believe we have collected information from a minor in error, please contact our Privacy Officer so we can delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will reflect the most recent revision.
